👋 Welcome to OKNote
Great to have you here! OKNote is a productivity app that brings notes, mail, tasks, and attachments together in a single workspace. Your data lives on your own server, note content is encrypted at rest, and everything keeps working offline.
This "Getting Started" notebook contains 8 guides (including this one). They are ordinary notes — feel free to edit them, highlight things, and delete the whole notebook once you're done. Nothing will break.
A quick tour of the interface
The vertical column of icons on the far left is the module rail. Top to bottom, these are the four modules:
| Icon | Module | Shortcut | What it does |
|---|---|---|---|
| 📄 | Notes | ⌘⇧1 | Writing, capturing ideas, mind maps, sharing and collaboration |
| ✉️ | ⌘⇧2 | Multi-account email plus AI summary and AI draft replies | |
| ☑️ | Tasks | ⌘⇧3 | To-do lists, calendar planning, AI weekly and monthly reports |
| 📎 | Attachment Center | ⌘⇧4 | Every attachment from your notes and mail, managed in one place |
On your phone, the same four modules live in the tab bar at the bottom of the screen — the features are identical.
Inside the Notes module you get the classic three-pane layout: sidebar (the tree of shelves and notebooks) → note list (notes in the current notebook) → editor (the note itself).
Shortcuts worth memorizing
- ⌘K — Global search. Press it anywhere to search full note text and attachment filenames. This is the single most-used key in OKNote.
- ⌘, — Open Settings. Everything for Mail, AI, and Tasks is configured here.
- ⌘. — Focus mode: hides both side panels, leaving just your writing. Press it again or hit Esc to exit.
- ⌘⇧1 ~ 4 — Jump between the four modules; ⌘[ and ⌘] cycle through them in order.
Suggested reading order
- Read "📝 Notes Guide" next — notes are the foundation of everything. Five minutes covers shelves, notebooks, and the editor.
- Then set up AI ("🤖 AI Setup Guide") — a single API key unlocks every smart feature: note summaries, mail digests, AI weekly reports, and more. Works with OpenAI, Claude, Gemini, DeepSeek, Kimi, Qwen, and other major providers, plus local models via Ollama.
- If you use email, read "📮 Mail Guide" — it walks you step by step through getting app passwords for Gmail, QQ Mail, Tencent Exmail, and more.
- The Tasks and Attachment Center guides can wait until you need them.
- For admins: after buying a plan, read "🔑 After Buying: Activate Your License on This Server"; to reach your NAS from outside your home, read "🌐 Public Access: Your Own Domain + Cloudflare."
Data safety, up front
- Note content is stored on your server's disk with AES-256-GCM encryption.
- Mailbox passwords and AI API keys are encrypted too — they never sit in the database as plain text.
- You can read and write notes offline; changes sync automatically once you're back online. Editing the same note on multiple devices at once won't overwrite anyone's work.
